About the position:

Background:

Eco-Shelter Projects LLP is building a first of its kind manufacturing facility in Nashik, Maharashtra, India and is seeking a qualified Business Administrator to lead and manage daily business operations.

Position Description:

The Office Manager will be responsible for managing all daily business operations including:

  • Overseeing general office operation.

  • Develop and practice behavior demonstrating high-ownership.

  • Ensure clear communication with on-site personnel, suppliers, visitors regarding company confidentiality policies and track compliance against written and verbal agreements to maintain confidentiality.

  • Ensure clear communication and compliance of all persons regarding occupational safety practices.

  • Ensure all company related data is entered into the IT systems as directed by GM.

  • Ensure integrity of data and provide information as needed to support accounting consultants/advisors.

  • Supervising, mentoring, training, and coaching our contracting staff providing site security, housekeeping and other non-production related functions and delegating assignments to ensure maximum productivity.

  • Participate in office meetings, complete/resolve actions received, and flag critical issues needing support to GM.

  • Handle inbound/outbound logistics processes.

  • Ensure tracking of transportation cost, including customs.

  • Participate in supplier discussions and finalization of procurement contracts.

  • Review supplier’s performance and price and take action if needed.

Job Roles & Responsibilities:

1. Day to Day Accounts: Preparation of necessary accounting vouchers and taking care of all accounting books like Cash, Bank, Purchase, Sales and Journal Books.

2. Bank Operations: Submission of monthly Stock Statement to Bank and overseeing day to day operations of cash and cheques.

3. MIS: Bank funds position, funds inflow and out flow, status of the receivables and payables.

4. Reconciliations: Reconciliations of Bank Statement (BRS), Sundry Debtors, Creditors, and Raw Materials.

5. Duties & Taxes: Experience in Preparation of monthly Input and Output Tax Statements like GST (C GST, SGST & IGST) and timely submission of online returns liaising with auditors.

6. TDS: TDS deductions as per Govt rules and sections from Salaries, Contractors, and Professionals Services etc. And submission of quarterly ETDS returns.

7. Payrolls: Preparation of monthly payroll statements of the Staff and workers with necessary deductions like ESI, PF, PT and TDS etc.,

8. Enquiries & Orders: Getting offers for necessary materials from various vendors and releasing orders after finalization from management.

Required Qualifications

  • A bachelor’s degree or equivalent

  • Excellent oral and written communication in English and Hindi is required

  • Ability to communicate in Marathi and Telugu is a plus

  • Five years of experience in office administration

  • Office management experience

  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.

  • Demonstrated compliance with company policies regarding confidentiality, workplace safety, non-discrimination, and substance abuse.
